Tool Descriptions

Academic Department Codes - You can maintain a database of academic departments at your institution. The information includes the department names, institution code, department home page, and fund codes from your ILS. This information is used by other SiteScripter tools.

Academic Department Reps & Liaisons - You can manage your library liaisons and the department reps and heads for the academic departments at your institution. You can easily create lists of email addresses for communicating with the different types of people and produce printable lists for use in material processing. Directories of Department Reps & Liaisons can be included on your web pages.

Appearance - You can customize the look of your intranet. You can select the foreground and background color schemes, select a header graphic that you have created, and decide between horizontal or vertical navigation tabs.

FAQs - You can create any number of Frequently Asked Questions and any number of FAQ groups. Your FAQs can be displayed by group on any web page you wish on your intranet.

Files - You can upload PDF, text, or image files to yout intranet. You can create links to files which have be uploaded on any page you wish. A list of uploaded filenames are provided in the rich text editor when creating hypertext links.

Forums - You can create any number of discussion forums and any number of forum groups. Each forum can have any number of topic threads. Forum read, post, and topic creation permissions can be set by member type.

Groups - You can create any number of groups of members on your intranet. These might be department groups, committee groups, or special purpose groups. Access permissions to page content or tools can be restricted to specific groups. Notices can be emailed to groups you select. Optional group actions allow you to automatically email notification when new members are added to or removed from a group. Group membership history can be used for many administrative tasks, for example, identifying when a faculty member is eligible for promotion.

Help Desk - Administrators can request help with any aspect of SiteScripter or report problems by opening a Help Desk Request. SiteScripter support personnel will be notified when new requests are made. You can elect to receive email notification whenever the status of your request is changed. Once the request is completed, you decide if it has been satisfactorily answered before you close the request.

Images - You can upload image files to your intranet to display on any web page you wish. JPEG, GIF, and PNG image formats are supported. Uploaded images are given a title and description to aid in the selection of images. An image preview is provided in the rich text editor when selecting images for display.

Members - You can add new members to your library intranet and manage existing members. Any member can be granted permission to create and edit web pages on your intranet. You can also assign members as site administrators. You can inactivate members who are no longer employed by your library. A great deal of information can be maintained about your members, including office addresses and phone numbers, home address and phone numbers, and emergency contacts.

News - You can create any number of news items and any number of news item groups. Your news items can be displayed by group on any web page you wish on your intranet. News items are given a start and stop date to automatically begin and end the display of the items.

Notices - You can send email notices to all of your active members or members of any group or group type. Notices can be restricted to group members that have a specifc group title. For example, you can send an email notice to all members of any group in the "Committee" group type that have a title of "Chair".

Pages - You can create any number of web pages for your intranet. Members must be granted editor permission before they can create or edit web pages. Web pages can contain any number of page sections which can be composed of:

  • Text & Image Sections - These sections allow you to create the text that should appear on the web page and to place images that have been uploaded via the Images tool. Hyperlinks to other web page on your intranet, to files that have been uploaded via the Files tool, or to other web sites can be made.
  • Form Sections - These sections allow you to create web forms. Any number of form fields can be created. Text, text area, checkbox, and pull-down select fields are supported. Fields can required to be filled in. Completed forms are processed and the information is emailed to the recepients you specify.
  • Member Directory Sections - These sections list member information as specified. All active members or members of a specific group can be displayed. Group membership lists can be restricted to members with group titles. The member's name is hyperlinked to the member's email address for easy emailing. Optionally, titles (both member and group) and location (office address, phone, fax, and office hours) information can be displayed.
  • Group Directory Sections - These sections list the groups that belong to a specified group type. Optionally, the group's home page can be hyperlinked to the group name.
  • Reps & Liaisons Directory Sections - These sections list one or more academic departments and any combination of their directors/department heads, department reps to the library, and library liaisons. Optionally, a link to the department's home page can be included.
  • FAQ Sections - These sections display a set of FAQs by type. Any FAQ type can be specified.
  • News Sections - These sections display a set of new items by type. Only those news items that have a start date of today or earlier and an end date of today or later are displayed.
  • Poll Sections - These sections allow you to create polls in which your members may participate. Up to 12 options can be provided for each poll question. Once a member has selected an option, he or she will be shown the poll results as of that time.

Service Statistics - You can collect, display, and download service counts from any number of service locations. Any number of service types can be configured. An easy-to-use button bar is displayed to members working the service locations you define, making it simple for them to click after each transaction. Reports available include:

  • Frequency by Location,
  • Frequency by Service,
  • Frequency by Day-of-the-Week,
  • Frequency by Hour-of-the-Day,
  • Location by Service,
  • Location by Day-of-the-Week,
  • Location by Hour-of-the-Day,
  • Service by Day-of-the-Week,
  • Service by Hour-of-the-Day, and
  • Hour-of-the-Day by Day-of-the-Week.

Site - You can maintain the details of your intranet including the name of your institution and organization, the billing address, the administrative and billing contacts, your timezone, and site-wide restrictions on web page editing.

Tabs - You can create and maintain the navigation tabs for your intranet. You can add up to five horizontal tabs or many more vertical tabs to the default Home and Tools tabs. Each of your tabs can have any number of sub-tabs attached to them. Tabs can be hyperlinked directly to another web site. You control the order in which your tabs and sub-tabs are displayed.

Tool Access - You can specify which groups of members have access to which tools on your intranet. By default, most tools are restricted to site administrators only. You can allow other members access to specific tools in order to delegate responsibility to others.

URL Checker - You can upload a tab-delimited file of URLs and associated information. Each URL will be tested to see if it is working properly. An output file will be created containing the URLs and associated information of those URLs which are not working properly. The reason for the failure is included with each URL.
